Everything a medical cannabis certification clinic runs on.
Everchart connects patient intake, provider charting, certification decisions, state registry work and renewals, so nothing is copied between tools and no patient slips through.

Every expiration date becomes a renewal visit on the calendar.
Everchart builds a renewal pipeline from each patient's current signed, approved certification. Staff see who is expired or expiring in 30, 60 or 90 days, log calls and emails so nobody double-contacts a patient, and schedule the renewal visit in two clicks. Patients also see a renewal prompt in their portal as their date approaches.

Paperwork done before the visit, under your own brand.
The Everchart patient portal lets patients register, complete their health questionnaire, upload ID, residency proof and medical records from a phone, and request a visit time. Everything lands in the chart flagged as patient-submitted for staff review. Clinics can use their own name, logo, colors and custom domain and hide all Everchart branding.

Registry work your whole team can see, assign and finish.
When a provider signs an approved certification, Everchart creates a registry task containing the patient and certification details staff need, plus your state program's own step-by-step instructions. Staff assign tasks, mark them blocked with a reason, and complete them by recording the registry confirmation number. Everchart never logs in to or submits to government portals automatically.

Chart, sign and certify in one screen.
Everchart's encounter screen puts the patient's history, medications, allergies and documents on the left, a SOAP note in the middle, and appointment, intake completeness and certification status on the right. Signing locks the note. Later changes become dated amendments with the original preserved. Only providers can record and sign certification decisions, and the software never suggests or automates eligibility.

Records you can defend.
Everchart isolates each clinic's data in the database itself, limits actions by role (admin, provider, staff), records logins, chart views, signatures and registry work in an append-only audit log without clinical text, locks signed notes and certification decisions, and stores documents privately behind short-lived signed links. HIPAA compliance also depends on hosting agreements and clinic policies, which we review with each clinic before real patient data is entered.
