Why we built it
Certification clinics run a loop that general EHRs were never designed for: evaluate, certify, complete the state registry steps, and do it all again before the certification expires. In most clinics that loop is held together with spreadsheets, sticky notes and memory. Patients lapse because nobody called. Registry work stalls because nobody can see it. Staff spend visits collecting paperwork patients could have uploaded from their phone.
Everchart puts the whole loop in one place, and it keeps the clinical judgment where it belongs. The software never decides who qualifies and never auto-approves. Only a provider can sign a certification decision, and signed records are locked.
What's in the launch
Track every medical cannabis certification expiration and turn it into a booked renewal visit. Everchart groups patients by expired, 30, 60 and 90 days and logs every outreach.
A white-label patient portal for medical cannabis clinics: online registration, health questionnaire, ID and record uploads and visit requests under your clinic's name, logo and domain.
Turn every approved medical cannabis certification into a trackable state registry task with assignees, blocked reasons and confirmation numbers.
A focused provider workspace for medical cannabis evaluations: history, documents, SOAP notes, locked signatures, amendments and provider-only certification decisions.
How Everchart protects cannabis clinic records: per-clinic data isolation, role-based access, append-only audit logs, locked signatures and private document storage.
Founding clinic program
We're onboarding a small group of founding clinics personally. Founding clinics get:
- Founding pricing locked for your first year
- Hands-on setup of your state program, staff accounts and branded portal
- Help moving your current patient list and expiration dates
- A direct line to the product team, and a say in what we build next
What's next
On the roadmap: automated renewal reminders by email and text, patient self-booking into open slots, provider-authored treatment and product plans patients can see in their portal, and integrations with the video and payment tools clinics already use. Founding clinics help decide the order.
